It is our goal at SurePrep to not just sell you the leading edge tax preparation productivity solution, but to help you integrate our solution into your current workflow. To ensure a successful integration, we will work with “champions” at your firm to customize a training and implementation plan.
The Transition Meeting
The implementation process begins with a transition meeting between your SurePrep implementation team and you. This meeting should take place shortly following your purchase of a SurePrep product or service. The goals of this meeting are to introduce the team members, discuss your firm’s goals and expectations, get a brief overview of your current workflow with respect to 1040 and 1041 tax preparation, and develop a timeline for implementation. Coming out of this meeting, we will ask that you assign “champions”. A champion is someone who will be held accountable for the success of their piece, or pieces, of the implementation process. Ideally there will be a champion at every level of the preparation process – scanning, submitting, preparing, reviewing, and finalizing the return. All champions should attend the workflow meeting which, if possible, will be scheduled at the conclusion of the transition meeting.
The Workflow Meeting
The next implementation meeting, the workflow meeting, is the crux to developing a successful implementation plan. You, your champions, and your SurePrep implementation team members will talk in detail about your workflow process. Based on your current process, we will discuss SurePrep recommended best practices for the product or service you’ve selected. Upon understanding your firm’s needs, and where we can best help you streamline to become more efficient, we will customize a training program around the features of our software you agree you would like to utilize.
The Workflow Diagram
In addition to a customized training program, your SurePrep specialist will diagram your tax return workflow. This will ensure all parties understand your firm’s process. This meeting will be scheduled for four hours. At the conclusion of this meeting the SurePrep specialist will commit to a date for their deliverables; the customized training plan and the workflow diagram. You will provide your timeline for the completion of the training program.
Training is automated so that it can be done in your office, at your own pace, when convenient. Each person will have their own training plan so they know which training modules they need to complete. Completion of the training tutorials will be tracked and reported back to your firm. In this way you can manage your staff’s progress.
Following completion of your training, you and your champions will meet with your SurePrep implementation team to review the success of the implementation process and determine if any follow up training is necessary. During this meeting we will review your stated workflow process and address any adjustments that may be needed.
In addition to these meetings, SurePrep offers a tax season kickoff which may include a review of your account configuration as well as a walkthrough of a live return with you and your staff.
